Status: Part-time, 20-28 hours/week (schedule varies with production calendar). $18/hour.

The mission of NC Stage is to connect people to plays that illuminate the shared human experience. As we continue to grow and thrive, we are seeking a motivated and organized Events & Communications Assistant to join our team.
Position Overview
The Events & Communications Assistant provides essential day-to-day administrative and operational support across marketing, development, and venue rental operations. This position is ideal for someone interested in gaining broad experience in nonprofit arts administration, event management, marketing, and fundraising.
Key Responsibilities
Marketing & Communications Support (35%)
- Assist with posting social media content across platforms (Facebook, Instagram) according to marketing calendar
- Assist with email newsletter assembly and distribution using Mailchimp marketing platform
- Update event calendars and website with show information, news, and promotional content
- Create basic graphics for social media posts using templates and brand guidelines using Canva
- Monitor and respond to social media comments and messages in a timely manner
- Help coordinate photography/video capture at performances and events
- Maintain organized digital asset library (photos, logos, graphics, templates)
Development Support (35%)
- Process donor gifts in CRM database with accuracy and attention to detail
- Generate and mail donor acknowledgment letters
- Maintain accurate donor records, including contact information updates and gift history
- Assist with preparation of fundraising appeals (printing, mail merge, stuffing/labeling)
- Track RSVP responses and maintain guest lists for fundraising events
- Help coordinate fundraising event logistics (venue setup, materials preparation, volunteer coordination)
- Maintain filing systems for development records and correspondence
Venue Rental & Event Support (30%)
- Support venue rental inquiries, client communications, and event logistics
- Assist with preparation and processing of rental agreements and contracts
- Ensure client needs are met and venue is properly maintained during events
- Track rental calendar and ensure clear communication with theatre staff about building usage
- Address any issues or concerns that arise during events professionally and efficiently
- Maintain rental event files and documentation
General Administrative Support
- Assist with general office tasks as needed to support marketing, development, and operations
- Attend performances, fundraising events, and rental events to provide on-site support (evenings and weekends as needed)
- Help maintain organized and efficient systems across all areas of responsibility
- Other duties as assigned
Qualifications
Required:
- High school diploma or equivalent; some college coursework preferred
- Strong attention to detail and organizational skills
- Excellent written and verbal communication skills
- Professional customer service skills
- Proficiency with Microsoft Office or Google Workspace
- Comfortable learning new software and technology platforms
- Ability to work independently with clear direction
- Professional demeanor and discretion when handling donor and client information
- Reliable, punctual, and able to meet deadlines
- Physical ability to assist with event setup (moving chairs/tables, carrying materials)
- Flexibility to work some evenings and weekends for events
Preferred:
- Experience with social media platforms (personal or professional)
- Basic graphic design skills (Canva, Adobe Creative Suite, or similar)
- Experience with CRM databases or data entry
- Event coordination or hospitality experience
- Interest or experience in the performing arts or nonprofit work
